If you go to your Windows Search Bar and Type Outlook you may be faced with 2 similar applications- Outlook and Outlook (new)

Outlook VS Outlook (New)

Outlook (New) is an upgraded version of Windows Mail and does not support POP accounts of PST files as the original Outlook application does.

Old Outlook or the classic Outlook is part of the Microsoft Office suite. It will also support Outlook data files allowing users to import PST or OST files after the setup.

In this article, we will focus on setting up the Outlook 2019 application on your Desktop.

How to Set up Outlook On Desktop?

The Outlook Setup is very fairly straightforward. before we begin, make sure that you have a good understanding of your requirements If you are setting up Outlook with a company ID, make sure to contact the IT department for instructions.

1. Launch Outlook

Open The Outlook application, you can use the Windows search bar to do so. If this is your first time using Outlook, you will be asked to set up your Outlook account before proceeding.

2. Add Email

You can add multiple emails from different email clients. You can create an Outlook account with a Microsoft ID, Gmail address, company IDs, and more.

3. Account Setup

In the Account setup Window, you can enter any additional email addresses that you wish to sync with Outlook.

4. Select Account Type

Here is where things can get a bit tricky, you are open to choosing one of the following account types or email protocols

A) Microsoft 365 (Paid Subscription)
Microsoft 365 is a great option as it is feature-packed and is able to sync your mail with the entire Microsoft suite and Onedrive data allowing access, share, and edit projects from multiple devices and accounts.

B) Exchange (Enterprise)
The exchange protocols allow users to sync with mail servers that are usually hosted on-premises by organizations. It provides high customization options allowing organizations to integrate tailored features with Outlook. If you work in a company there is a good chance that you will need to choose this option.

C) POP (free)
POP is an old email protocol that contains all your mail data within the device. Once mail data is downloaded from the server, it is immediately deleted from there leaving the only copy of the mail stored locally on your device. While this may work for some who prefer high security, it may prove to be inconvenient today.

D) IMAP (free)
IMAP is a more modern and widely used email protocol. Very compatible as it allows users to access their data via multiple devices simultaneously. While the differences between IMAP and POP are often debated, IMAP usually emerged as the favored one.

5. Manual configuration (Optional)

Manual configuration is optional and is usually used to connect to a particular server. In such settings, it is recommended to consult with your company’s IT professional.

6. Enter credentials

Enter the credentials of your Outlook account (email and password / Microsoft credentials). If you have forgotten your password, you can log in using an OTP that will be sent to your respective mail ID or number.

7. Configure Outlook:

Outlook will validate your account settings and establish an email server connection. After the Outlook configuration, you’ll see a confirmation message. Click on “Finish” to complete the Outlook setup process.

You can now use Outlook normally. feel free to adjust the settings or enable add-ins to customize your Outlook experience. Try sending a dummy mail to rule out any send/receive issues in Outlook.

8. Synchronize Outlook Items

All Outlook Items will automatically sync up according to the email IDs you added in Step 3. Verify if all your emails and Outlook Items have been synced. Ensure that your Inbox, calendar, and contacts do not have any sync issues.
