How To Access/Create An Outlook Calendar?
1. Access all calendars by clicking on the calendar icon on the bottom-left part of the screen.
2. Right-click on My Calendars and select New Calendar.
3. Enter a name and other relevant details and click on OK.
Outlook Calendar Features
1. Organize Events/Appointments
You can keep track of all your events and appointments using the Outlook calendar.
It allows users to add, or move around events and appointments as per your requirements. You can even label or color special dates or events to organize or mark them.
To create a new appointment or event, you can select and click on a timeslot and type in the name and description of the event/appointment to make it. You can choose to be reminded with a specific sound or message
2. Create/Schedule Meetings
If you regularly attend or create meetings, you can use Outlook calendar to create and manage them. This feature is convenient because when a contact accepts a meeting request, it is also automatically added to their calendars.
To create a meeting follow the steps below-
1. Access Outlook Calendar
2. Right-click on a time slot and select Create New Meeting Request.
3. A new window will open-
- invite all the contects by adding them in the To section.
- Fill in the Subject and Location
- Add the Timings.
4. Type out the invite and click on Send.
Invited contacts can choose to accept or decline the meeting request. If allowed, they can even suggest an alternative time for the meeting.
Note: Outlook will notify you If your meeting time clashes with any invitees’ schedule.
3. Group Calendars
You can create calendars with multiple members that show the schedules of all its members. This helps to schedule meetings according to everyone’s convenience.
You can share a calendar with a group by
1. Right-click on the calendar that you want to share.
2. Select Share and click on E-mail Calendar.
3. A pop-up will appear. Enter relevant details and send them to your contact.
4. View Multiple Calendars
Outlook will allow you to view multiple calendars at the same time to compare your (or even someone else’s) calendars easily. There are 2 ways to achieve this-
A. Side-by-Side View
The side-by-side view simply puts 2 or more calendars adjacent so you can view both simultaneously.
B. Overlay
The overlay feature (as the name suggests) allows you to view multiple calendars on one frame by overlapping them. Merging your Outlook calendars is extremely convenient if you want to view more than 2 calendars at once.
You can overlay your calendars by following the steps below-
1. Click on the calendar icon to access the Outlook calendar view.
2. Check or select both calendars in the left pane.
3. Access the View tab on the top and click on Overlay.
5. Subscribe/Sync Calendars
A. Subscribing-
Subscribing to online calendars will ensure that your offline calendars are updated after any changes made to the online version.
B. Share calendar access
You can delegate or assign administrative power to other users. If permissions are given, the user can make any changes without the owner or on their behalf.
